Your account and settings

Everything on this page lives under Settings at the foot of the menu. The two worth setting early are your public handle, because it appears in every link you send, and your time zone, because every time in the app is shown in it.

Profile#

Email
Fixed. It comes from the Google or Microsoft account you signed in with, and it is where your own booking notifications go.
Name
What your customers see on your booking page and in their confirmation emails. Change it to your business name if that reads better than your own.
Public handle
The first part of every booking link. See below.
Language
English or 日本語. Changes the app for you only — it does not change what your customers see, which follows their own browser.
Time zone
Every time in the app is displayed in this zone: the bookings list, booking details and the reschedule picker. Your availability schedules have their own separate time zone.

Press Save when you are done. A Saved note appears beside the button.

Your public handle#

When you signed up you were given a handle made from your name plus a few random characters, such as ben-smith-7k2q. It works immediately, but it is not beautiful, so change it before you print it on anything.

  1. Go to Settings.
  2. Type a new Public handle. Use 3 to 30 characters: lowercase letters, numbers and hyphens, starting and ending with a letter or number.
  3. Check the line underneath, which previews the link your customers will get.
  4. Press Save.
Old links stop working

Changing your handle changes every one of your booking links at once. Anything already printed, embedded in a website or sitting in someone's inbox will stop working. Links to existing bookings are unaffected — those use their own address — so nobody loses a booking they have already made.

If the handle you want is taken you will see That handle is already taken. Add your city or your trade rather than a number: aoyama-clinic reads better than clinic2.

Booking notifications#

Emails about new bookings, cancellations and reschedules always go to your account address. This section adds up to five more, for a shared inbox such as reception or support.

  1. Under Booking notifications press Add an address.
  2. Type the address and press Save.

These addresses are copied on new bookings, cancellations and reschedules only. Customers never see them, and they are never used for the emails your customer receives.

Checking the customer's email address#

In the same section is Check the booker's email address before accepting a booking. It is off by default.

Switch it on and anyone booking a free appointment must type a six-digit code emailed to them before the booking is accepted. It stops bots filling your diary, and it stops somebody booking under a stranger's address, which would mean we send that stranger mail they never asked for. The cost is one extra step for every genuine customer.

Paid bookings already prove it

Someone who has completed a card payment has already proved they are real, so this check does not apply to paid event types. Leave it off unless you are actually being targeted.

The code lasts 15 minutes, there are five attempts, and up to five codes per address per hour.

Products#

Business Box is one account with several products. Booking is the one that is built; Agreements, Invoicing, Inquiry and Clients are marked Coming soon and cannot be switched on yet. When they arrive they are included in the same subscription, and you enable them here.

At least one product must stay enabled.

Connected accounts#

Shows which provider you sign in with. Connecting calendars is separate and lives under Booking → Calendars; connecting Stripe lives under Booking → Payments.

Deleting your account#

At the bottom of Settings. It permanently deletes your account and all its data, cancels your subscription and cancels future bookings. It cannot be undone.

  1. Type your own email address in the confirmation box.
  2. Press Delete my account.
Tell your customers first

Future bookings are cancelled as part of this. If any of them are paid, refund them from the booking before you delete, because afterwards there is nothing left to refund from.

Common questions

How do I change my booking page URL?

Go to Settings and edit Public handle, then press Save. Every booking link changes at once, so update anything you have already printed or embedded.

Can two people share one Business Box account?

Not as separate sign-ins — one account is one person’s calendar and diary. What you can do is add a shared address such as reception@ to Booking notifications, so a colleague sees every booking as it arrives.

Why is my customer’s booking page in Japanese when my app is in English?

Because the two are separate on purpose. Your language setting changes the app for you; your customer sees whichever of English or Japanese their own browser asks for. Fill in both languages for names and descriptions so either reads well.

What happens to my bookings if I change my time zone?

Nothing moves. Bookings are stored as exact moments in time, so the appointment stays where it is and only the way times are displayed to you changes. Your availability hours are set separately, per schedule, and are not affected either.
