Connect Zoom
Connecting Zoom takes one tap — there is nothing to copy or paste. Once it is on, any service you set to Zoom creates its own meeting for every booking, so two customers are never sent into the same call.
Go to Settings → Integrations → Zoom, press Connect Zoom and authorise it. Then set a service's location to Zoom on its Details tab.
Before you start#
You need a Zoom account. A free one works — Business Box creates meetings in it exactly the same way — but Zoom ends a meeting on the free plan after 40 minutes. If the service you are setting up is longer than that, Business Box says so when you choose the location, and the answer is a paid Zoom plan rather than anything on our side.
You do not need a calendar connected for Zoom to work, though most people want both.
Adding the app#
- Go to Settings → Integrations and choose the Zoom tab.
- Press Connect Zoom.
- Sign in to Zoom if you are not already, and press Allow on the screen Zoom shows you.
- You come back to the Zoom tab, which now shows Zoom is connected and the email address of the account.
What Zoom is asking, and why#

Business Box does not read your other meetings, your recordings, your chats or your contacts, and does not ask for permission to. What is stored, and for how long, is set out in the privacy policy.
Turning it on for a service#
Connecting Zoom changes nothing on its own. Open a service under Booking → Event types, and on the Details tab set Location to Zoom. Do that for each service you hold on Zoom; the others are unaffected.
If you have not connected Zoom yet, the location shows a note telling you so rather than letting you promise your customers a link that will not arrive.
What happens on a booking#
- Someone books
- A new meeting is created in your Zoom account, titled with the service and the customer's name. The join link goes into their confirmation email, their calendar invitation and their booking page, and into yours.
- They reschedule
- The meeting moves to the new time and the link stays the same, so the one they have already saved still works.
- Either of you cancels
- The meeting is deleted from your Zoom account.
- Two bookings back to back
- Two separate meetings with two separate links. This is the reason to connect Zoom rather than paste your personal meeting room into a Custom location.
- A paid booking
- The meeting is created once the payment goes through, so abandoned checkouts leave nothing behind.
Your customer needs no Zoom account and no passcode: the passcode is carried inside the link. They are not left in a waiting room either — Business Box asks Zoom to let them straight in, unless your own Zoom plan forces a waiting room on every meeting.
Removing the app#
Either end works, and both delete the connection and the access we hold.
- In Business Box: Settings → Integrations → Zoom → Disconnect Zoom. This also revokes our access inside your Zoom account.
- In Zoom: go to the Zoom App Marketplace, then Manage → Added apps, find Business Box and press Remove. Zoom tells us, and we delete the connection at our end too.
Either way, the meetings already arranged stay in your Zoom account and your customers' links keep working — removing the app is not a reason to cancel appointments you still intend to keep. Past bookings keep the meeting link as your own record of what was arranged. New bookings on a service still set to Zoom arrive without a link until you reconnect or change that service's location.
If something is wrong#
- “Zoom needs reconnecting”
- Zoom has stopped accepting the connection — usually because the app was removed in Zoom, or a password or security policy changed. Bookings are still being taken, but their meetings are not being created, so this email is worth acting on the day it arrives. Press Reconnect Zoom; the meetings missed in the meantime are created for you.
- A booking arrived with no link
- Either Zoom was not connected when it was taken, or Zoom was briefly unreachable. Business Box never refuses a booking because of this and retries on its own. Check the Zoom tab says On; if it does, the link will appear on the booking shortly.
- The meeting ends after 40 minutes
- That is Zoom's free plan, not a Business Box setting. A paid Zoom plan removes it.
- Customers are stuck in a waiting room
- Your Zoom account is set to require one on every meeting and will not let us turn it off per meeting. Change it in your Zoom settings under Security.
- “Zoom is not available on this server yet”
- The integration has not been switched on for this installation. Contact support.

Common questions
How do I connect Zoom to Business Box?

How do I remove Business Box from Zoom?
Either press Disconnect Zoom in Settings → Integrations → Zoom, or remove it in the Zoom App Marketplace under Manage → Added apps. Both delete the connection and our access. Meetings already arranged stay in your Zoom account.
Do my customers need a Zoom account?
No. They tap the link in their confirmation or reminder and join. There is no passcode to type — it is carried inside the link.
