The booking form

Every booking already collects a name and an email address. The Booking form tab is where you add the things you need to know before the appointment, and decide what happens the moment it is made.

What is always asked#

You do not configure these, and they cannot be removed:

  • Your name and Email — required.
  • Phone number — asked when the location is a phone call you will make.
  • Anything the host should know? — an optional free-text note.

The customer's time zone and language are detected from their browser, so they never have to say.

Adding your own questions#

  1. Open the event type and choose the Booking form tab.
  2. Press Add question.
  3. Type the question. Use the language switch to write it in English and Japanese; at least one is required.
  4. Choose a Type.
  5. Tick Required if the booking cannot go ahead without it.
  6. Press Save at the bottom of the editor.

Up to 20 questions per event type. Remove one with the × at the right of its row.

The five question types#

TypeUse it for
Short textA single line: company name, referral source, room number.
Long textA paragraph: symptoms, what they want to cover, dietary requirements.
DropdownA fixed set of choices. Type the options one per line, up to 30.
CheckboxA yes or no. Combined with Required, it is how you make somebody agree to something before booking.
Phone numberA second number, when the location is not already collecting one.
Ask less

Every question is a chance to abandon the booking. Ask what you genuinely need before the appointment; anything you could ask on the day, ask on the day. Two or three questions is plenty for most businesses.

Answers appear on the booking in Booking → Bookings and in the email telling you about it. They are not shown to anyone else.

After booking#

In the same tab, choose one of two things to happen the instant a booking is made.

Show a confirmation page
The default. The customer lands on their own booking page, which shows the time, the location, a Join button for video calls, and buttons to add it to their calendar, move it or cancel it. The Confirmation message box is your chance to add something: what to bring, where the entrance is, a parking note. Written per language.
Redirect to a URL
Send them to a page of your own instead — a thank-you page, or a page that fires your own conversion tracking. Enter the full address including https://.
A redirect hides the useful buttons

Your own page cannot offer Add to calendar, Reschedule or Cancel. The customer still gets all of them in their confirmation email, so this only matters if you also suppress that. Unless you have a real reason to redirect, the confirmation page serves the customer better.

Keeping bots out#

Business Box protects public booking pages without you configuring anything. There is an invisible anti-spam check that only asks the visitor to do something when it is genuinely unsure, and daily ceilings — at most 20 bookings a day from one email address, 60 from one internet connection — set far above anything a real customer does.

If that is not enough because you are being targeted specifically, turn on email verification in Settings. People who arrive through an invite link skip the anti-spam checks, because the link itself proves you meant them.

Common questions

How do I ask my customers a question when they book?

Open the event type, go to the Booking form tab, press Add question, choose a type, and save. You can add up to 20 questions and mark any of them required.

Can I make someone agree to my terms before booking?

Yes. Add a Checkbox question whose text says what they are agreeing to, and tick Required. The booking cannot be completed without it, and the answer is recorded on the booking.

Where do I see the answers?

On the booking itself, under Booking → Bookings, and in the email you receive when the booking is made.

Can I send people to my own thank-you page after they book?

Yes — choose Redirect to a URL on the Booking form tab and enter the full address. Bear in mind they will lose the built-in buttons for adding the appointment to their calendar, moving it or cancelling it, although those are also in their confirmation email.
