Event types

An event type is one thing somebody can book from you. Most businesses need two or three: a free first conversation, the paid appointment itself, and perhaps a longer version. Each one has its own link, its own price and its own questions.

In short

Go to Booking → Event types and press New event type. The editor has five tabs — Details, Scheduling, Booking form, Payment and Embed — and one Save button at the bottom that saves all of them.

Creating an event type#

  1. Go to Booking → Event types.
  2. Press New event type.
  3. Fill in at least a Name on the Details tab and a Duration on the Scheduling tab.
  4. Press Save.
Faster: duplicate

Every row in the list has a Duplicate button. For a second event type that differs only in length or price, duplicate and edit — it is quicker and you cannot forget a setting.

If you press Save and something is wrong, the tab with the problem gets a red dot, the page jumps to the field, and the error box at the bottom lists every problem as a link you can click. Nothing you typed is lost.

The Details tab#

Name and description#

Both can be written in English and Japanese. Use the language switch above the field to enter the other one. At least one language is required; if a customer's language is missing, they see the one you did fill in, marked so you know which.

The name is what the customer sees everywhere — on your booking page, in the confirmation email, in their calendar invitation. The description appears on the booking page under the name, and is the place to say what to bring, where to park, or what the session covers.

The last part of the public address, filled in from the name as you type. Lowercase letters, numbers and hyphens only. Change it if the automatic version is clumsy — /first-visit reads better than /first-visit-60-minutes-consultation.

A Japanese name gives no link

A name written only in Japanese produces no Latin characters to build a link from, so the field falls back to something generic. Type the link part yourself in that case: shokai-soudan, or simply consultation.

Colour, and whether it is visible#

Colour
A stripe down the side of this event type wherever it is listed, so a busy day is readable at a glance.
Visible on your booking page
Untick to take it out of circulation entirely. Its public address stops working, it disappears from your booking page, and invite links for it stop working too. Existing bookings are unaffected. The list marks it Hidden and the Copy link button says No public link.
Who can book it
Anyone with the link is the normal setting: listed on your booking page and bookable from its own address. Invited people only hides it completely and makes it reachable through single-use links you send out. See Invite-only bookings.

Location: where the appointment happens#

Five choices, and the right one depends on what you have connected.

Teams needs a work account

Microsoft does not allow personal Microsoft accounts to create Teams meetings, so the booking would arrive naming Teams with nothing to click. Business Box warns you when it spots this. Either connect a work or school account, or choose Custom and paste your own meeting link.

Pick Google Meet or Teams before your calendar is connected and you will see a warning in amber. The setting saves, but no link will be created until the matching calendar is receiving bookings. Once you do connect one, Business Box offers to switch your existing phone-call event types over for you.

The Scheduling tab#

This tab decides which times appear on your booking page. Every field here is a number with its unit written beside it.

Duration — 5 to 720 minutes
How long the appointment lasts. This is the length that goes in your calendar.
Show start times every — 5 minutes up to the duration
How far apart the offered times are. A 60-minute appointment with a 30-minute interval offers 9:00, 9:30, 10:00 — so a booking at 9:30 is possible, and takes the 10:00 slot with it. Leave it equal to the duration for back-to-back appointments only.
Buffer before / Buffer after — 0 to 120 minutes
Private time either side that nothing may be booked into. It is not shown to the customer and not added to the appointment; it is protected travel, notes or cleaning time.
Minimum notice — 0 to 720 hours
How close to the start somebody may still book. At 4 hours, nothing inside the next four hours is offered. This is the setting that stops someone booking you for twenty minutes' time.
Bookable up to — 1 to 365 days
How far into the future the calendar goes. 60 days by default.
Max bookings per day — 0 to 100
A ceiling on this event type per day. 0 means unlimited. Useful when you can physically do four treatments a day even though your hours would allow six.
Availability schedule
Which set of hours this event type uses. See Availability.
Booker may reschedule — 0 to 20 times
How many times the customer may move the booking themselves. 0 means never, and the reschedule button disappears from their page. You are never limited.
Booker can't reschedule later than — 0 to 720 hours before the start
A cut-off for the customer moving it. Left alone, it matches your minimum notice. Past the cut-off their page tells them to cancel instead.
Reminder emails
Tick any of 7 days, 1 day, 2 hours and 30 minutes before. One day before is on by default. Both you and the customer get them, unless you turn off your own copies.
A worked example

A 60-minute treatment, offered on the hour, with 15 minutes afterwards to clean the room, bookable no later than the day before, no further ahead than two months, four a day maximum: duration 60, show start times every 60, buffer after 15, minimum notice 24 hours, bookable up to 60 days, max bookings per day 4.

Copying, hiding and deleting#

Each row in the event types list has these buttons:

Copy link
Puts the public address on your clipboard. On a hidden event type it says No public link instead, because the address would not work.
Invite link
Jumps to Invites with this event type selected, ready to mint a single-use link.
Duplicate
A copy you can then edit.
Delete
Removes it from your booking page. Existing bookings keep their details and still work — the customer can still see, move and cancel theirs.
Hide rather than delete

If you might use it again next season, untick Visible on your booking page instead of deleting. Everything is kept and one tick brings it back.

Common questions

How do I stop people booking me at short notice?

Open the event type, go to the Scheduling tab and raise Minimum notice. At 24 hours, nothing within the next day is offered. It is set to 4 hours by default.

How do I add a gap between appointments?

Use Buffer before and Buffer after on the Scheduling tab, up to 120 minutes each. The buffer is invisible to the customer and is not part of the appointment — it just cannot be booked into.

Can I limit how many bookings I take in a day?

Yes. Set Max bookings per day on the Scheduling tab. It counts bookings of that one event type; 0 means unlimited.

Why is Google Meet greyed out with a warning?

Because the video link is created together with the calendar entry, so it needs a Google calendar set as the one that receives bookings. Connect Google under Booking → Calendars and press Write bookings here on the calendar you want.

What happens to existing bookings if I delete an event type?

They survive with all their details, and both you and the customer can still view, move or cancel them. Only new bookings are prevented.
