Workspace members
A member is somebody who takes bookings with you. They sign in to their own account, keep their own calendar and their own hours, and your booking pages can offer whatever time they have free.
Go to Settings → Members, enter their email address and press Send invitation. Once they have joined, tick their name under Taken by on any service they should take. Members are included in the subscription — there is no charge per person.
What a member actually is#
Not a staff record inside your account. A member has their own Business Box account, free, and joining your workspace grants you one narrow thing: your booking pages may consult their calendar and offer the times they are free.
That is deliberate, and it is what makes the arrangement workable. They set their own working hours and holidays, they reconnect their own calendar when it needs it, and they can leave. You are not holding their password or managing their diary on their behalf.
Inviting somebody#
- Go to Settings → Members.
- Type their email address and press Send invitation.
- They receive an email. Opening it shows them who invited them and what joining means.
- They sign in — or create a free account, which the sign-in link does for them if the address is new — and press Join the workspace.
The invitation is valid for seven days and can only be accepted by the address it was sent to, so a forwarded email does not let somebody else in. Nothing of theirs is shared until they join. If it expires, press Resend.
Connect a calendar, and set their working hours. Until they have set hours, your pages offer none of their time — which is the safe answer rather than a bug. "They have not said when they work" is not the same as "they are free at any hour".
Putting them on a service#
Open a service, go to the Scheduling tab, and tick names under Taken by. Nobody ticked means you take those bookings yourself, which is how every service starts.
- One name. That person takes every booking of this service. It lands in their calendar, their Zoom or Meet link is used, and your customer's confirmation names them.
- Several names. A time is offered if any of them is free for it, and each booking goes to whoever has the most time left that day.
Your own opening hours still apply either way. The schedule on the service is the business's boundary — the hours you are open — and each person's own schedule says when they are actually there. A time has to be inside both.
Letting the customer choose who they see#
There is no staff picker on a single service. Make one service per person instead — "Cut and finish with Yuki", "Cut and finish with Sam" — with one name ticked on each. They sit next to each other on your booking page, so the customer chooses by choosing the service.

A member is told about their own bookings by email, with you copied in, and can open them to see who is coming and when. Cancelling is yours because a cancellation can refund a customer, and that is your money moving.
When somebody leaves#
Press Remove next to their name. Business Box refuses while they still have appointments booked, or while they are still named on a service, and tells you which — so nothing is left pointing at a diary nobody is keeping. Move those bookings or change who takes the service, then remove them.
Removing somebody does not touch their account. They keep it, with their own calendar and anything they book themselves, and you can invite them again later.
What it costs#
Nothing per person. Members are included in the ¥1,200 a month subscription, however many you invite, and only the account that owns the booking pages subscribes — a member does not need a subscription of their own.
Common questions
Does each member need to pay?
No. Members are included in your subscription and their own account is free. Only the account that owns the booking pages pays.
What if they do not have a Business Box account?
The invitation creates one. They enter nothing but their email address: the sign-in link makes the account if the address is new.
Can I see their calendar?
No. Business Box reads whether they are free in order to offer times, and writes the bookings they take. You never see what else is in their diary.
What stops two of my pages booking the same person twice?
Their own diary does. An appointment taken through any workspace they are a member of blocks that time everywhere else, including a booking they made for themselves.
Can somebody attend every meeting alongside whoever is rotating?
Not yet. A booking goes to one person today, so a supervisor who sits in on all of them cannot be set up.
What happens if a member’s calendar stops working?
They drop out of the rotation until they reconnect it, and your page goes on offering the times your other members are free. Only a service where everybody’s calendar is broken stops taking bookings.
