Online booking for recruitment consultants
Candidates can talk at 08:00, at lunch, or after 19:00, and never from their desk. The whole job is fitting conversations into the cracks in somebody else’s day.
A 30-minute candidate call event type with short notice and early and late hours, a separate 45-minute client briefing, and invite-only links for confidential approaches.
Scheduling is the job you are not paid for#
Six emails to arrange a twenty-minute call, times fifteen candidates, is most of a week. And because candidates cannot talk during the day, half of those emails are about finding a slot that was never going to exist.
Confidentiality makes it worse. A candidate job-hunting without their employer knowing will not book from a public page with your agency’s name on it.
The setup to start from#
Candidates can only talk outside working hours or in a lunch break, and a first call is short, exploratory and often confidential.
| Duration | 30 minutes for a candidate call, 45 for a client briefing |

| Buffer | 10 minutes after, to write notes |
| Max bookings per day | Eight candidate calls a day is a full day |
| Location | Video or phone |
| Payment | Free — the employer pays you |

Worth asking on the booking form: Current role and company · What are you looking for? · Notice period · Japanese level
Candidates in Japan are often job-hunting without their current employer knowing, so an invite-only event type and a single-use link keep the conversation off your public page entirely.
Offer only the hours candidates can use#
08:00–09:30, 12:00–13:00 and 18:00–20:30, as three ranges on each weekday in your availability schedule. Everything offered is a time somebody can actually take. Split shifts
Invite links for confidential approaches#
An invite-only event type plus a single-use link means the conversation never appears on a public page, the link stops working after one use, and the candidate skips the anti-spam checks because the link already proves you meant them.
Candidates and clients are different bookings#
A thirty-minute candidate call and a forty-five-minute client briefing, with different notice periods. Send each side the link that belongs to them.

Common questions
Can candidates book a confidential call?
Yes. Make the event type invite-only and send a single-use link, so it never appears on your public page and stops working once used.
How do I offer only early morning and evening slots?
Put two or three time ranges on each weekday in your availability schedule — for example 08:00–09:30 and 18:00–20:30. Only those hours are ever offered.
Can candidates reschedule themselves?
Yes, from the link in their confirmation, within limits you set. It removes most of the back-and-forth that surrounds a candidate call.
