When the paper diary stops coping

A paper diary is fast, reliable and free. It is also in one place, readable by one person, and one spilled coffee from being gone.

In short

Move the bookings customers make themselves, and keep adding phone bookings by hand. You get one diary, in your calendar, with reminders — without giving up the way you like to work.

The signs you have outgrown it#

  • You cannot check the diary unless you are at the shop.
  • Somebody else answers the phone and cannot see it.
  • Reminders happen when you remember.
  • You have written a booking in the wrong week.
  • You cannot answer "how many clients did we see last month?" without counting.

None of these is fatal on its own. Together they are half a day a week and a low, constant anxiety about what you have missed.

You do not have to move everything#

The usual mistake is treating this as a migration. It is not. Let new online bookings arrive in the system, keep taking phone bookings the way you always have, and enter those yourself with Add booking. Within a month the paper version is the copy, not the original. Adding a booking yourself

Your diary goes where you already look#

Confirmed bookings are written into your Google or Outlook calendar, so the diary is on your phone without anybody having to learn a new app. Calendar sync

And somebody else can see it#

Add a reception or partner address under booking notifications and they are copied on every new booking, cancellation and reschedule. Booking notifications

One account is one diary

If you have several staff each with their own appointments, that is a real limit worth knowing about before you start. Team scheduling

Common questions

Can I keep taking bookings by phone?

Yes. Add them with Add booking and they behave like any other — the slot is blocked, the customer gets a confirmation and reminders, and it appears in your calendar.

Do I have to move my existing bookings in?

No, and most people do not. Let new bookings arrive in the system and keep the old ones where they are; the changeover happens by itself.

Can my receptionist see the diary?

They can be copied on every booking email, and the bookings appear in the connected calendar, which can be shared in Google or Outlook. There is no second login to the account itself.
