When the booking software costs more than it saves
Software priced per user, per calendar or per booking has a habit of getting more expensive exactly as you start to depend on it.
Check three things before committing: whether the price scales with something you plan to grow, whether the feature you actually need is on the plan you are looking at, and whether there is a commission on top.
The three shapes of pricing, and how each bites#
- Per user or per calendar
- Reasonable at one person. Adding a second member of staff doubles it, which turns hiring into a software decision.
- Per booking, or a percentage
- Feels painless at first because it only costs when you earn. It is also the only model where succeeding makes the bill grow without limit.
- Flat monthly
- Predictable, and the cheapest of the three once you are busy. Usually the most expensive at the very start.
And the thing hidden in free plans#
The feature you need is rarely on the free plan. Taking payment, removing branding, more than one appointment type — the free tier is usually shaped so the first thing you genuinely need is the thing that makes you pay.
What to check before you commit#
- Does the price scale with something I plan to grow? Staff, calendars, bookings. If it does, model it at twice your current size.
- Is the thing I actually need on this plan? Deposits, reminders, calendar sync. Check the plan, not the feature list.
- Is there a commission on top of the subscription? Ask specifically. It is often on a different page.
- How do I get my bookings out? Worth asking on the way in, not on the way out.
