Several staff in one booking system

One account, one calendar, one diary. There is no staff list, no round-robin, and no way for a customer to choose between two people on one page.

In short

No, not properly. An account is one person. A team runs an account each, with separate booking pages and separate subscriptions — workable for two or three people, wrong for six.

What is missing#

  • No staff selection. A customer cannot pick "with Yuki" or "with Sam" on one page.
  • No round-robin. Bookings cannot be distributed to whoever is free.
  • No shared diary view. Nobody sees everybody's day in one place inside Business Box.
  • No shared login. One account, one sign-in, one person's calendar.
  • No resources. Rooms, chairs and equipment are not modelled as things to allocate.

Who this rules out#

A salon with six chairs, a clinic with four practitioners, an agency where any of three people could take the call. If the customer needs to choose a person, or the system needs to choose one for them, this is not the tool.

An account each, honestly assessed#

Two or three people can run an account each. Each has their own booking page, their own link, their own calendar and their own hours, and you link between them from your website.

It works. What it costs:

  • A subscription each, if each of them takes card payment.
  • No shared view of the day — you look at the shared calendar instead.
  • No way to stop two of them being booked into the same room.
  • Each person needs their own Google or Microsoft account to sign in with.

Use the calendar as the shared view#

Each person's bookings are written to their own connected calendar. Share those calendars with each other in Google or Outlook and you get the whole team's day in one place — outside Business Box, but it is the view people actually want. Calendar sync

Keep reception in the loop#

Add a shared address under booking notifications on each account and reception is copied on every new booking, cancellation and reschedule across the team. Booking notifications

Or run one diary for the business#

Some small teams run a single account representing the business rather than a person, with whoever is free taking the booking. It works when the customer does not care who they see, and it fails the moment they do.

When to use something else#

Past three or four people, or anywhere the customer chooses a practitioner, use software built for teams. It is a real category with real products in it, and this is not one of them.

Can several staff share one Business Box account?

No. One account is one person’s diary and one sign-in. A team runs an account each, with separate booking pages.

Can a customer choose which member of staff to book?

Not on one page. Each person has their own booking page and link, so the choice happens on your website before they reach a booking page.

Can my receptionist see everyone’s bookings?

Through the calendars rather than through Business Box. Each person’s bookings go to their connected calendar, and those can be shared in Google or Outlook. A shared address can also be copied on every booking email.

Does the price scale per person?

Effectively yes, since each account that takes card payment needs its own subscription. Worth comparing against per-seat pricing elsewhere before deciding.
